Job purpose:

Responsible for assisting the operations group department co-ordinate with all concerned to ensure that the operational systems, procedures and policies are in place as requested by the tour operator. Support with management reporting, information flow and overall day to day management, on current business loads. Organizational planning in order to ensure all operations are made as per the clients’ requirements, efficiently and in a timely basis.

KEY RESPONSIBILITIES

  • Supporting on ground for operational GIT/MICE and support leisure when is needed.
  • 24hour assistant for emergency contact for Leisure together with Operation Supervisor
  • Provide follow up of day-to-day execution services requirements, rechecking and recording executed services into system.
  • Assignment of guide and provide required amenities for guide to deliver services
  • Issuing and filing guide orders
  • Prepare and/or collect required documents including tour order and other related requirements for all departments concerned
  • Liaising with Airport Representatives, Hotel Representatives, Guides and Drivers
  • Reconfirming the services with related suppliers and sub-contractors.
  • Provide pick up time messages for clients for departure / Tours.
  • Taking action on solve the complaints together with customer service.
  • Provide general information, explanation regarding tour destinations, visiting sites as well as culture, country facts, local tradition and other related to tour requirements.
  • Assisting Operations Manager & Customer Service to investigate matters which cause the company complaint. Checking flights accuracy and updating guides and drivers contact lists.
  • Be a team member to assist the team if required / flexible in duties..
  • In collaboration with the Customer Service Department, manage our customers journey within destination, encouraging a team culture dedicated to delivering high quality services
  • Control invoices from Destination Asia’s transport suppliers and ensure services are charged correctly as per service provision
  • Monitoring pending assignments, so all are clear at the end of the month.
  • Monitoring cash advance requests requested by guides. .
  • Ensure the optional tour payment must be done to Cashier 3 days after the activity.
  • Creating tour expense reports at the latest 7 days before group tour start and requesting the needed to the cashier. The expenses MUST be handed over to guide at the latest 1 day before guests’ activity.
  • Arrange Meeting with assigned guides and file owner to discuss about group itinerary/program, group requirement, group dietary, rooming list, etc. This MUST be done at the latest 3 days before group arrival

REQUIRED QUALIFICATIONS

Education and Experience

  • Diploma degree in tourism or any related fields
  • Minimum 2 years of work experience in tourism industry in similar functions

Required Skills

  • Good command of English both written and spoken
  • Knowledge of Indonesia tourism products
  • Good interpersonal skill
  • Good customer service skill
