Receptionist
Work Dynamics - Integrated Facilities Management
Location: Senayan
1. Receive visitors/employees as required each time someone enters the complex/office.
2. Verify security level of visitors and provide appropriate visitor access badges in Visitor Management System where available. When notified by Oracle that visitors will be coming, create visitor badges in advance, in accordance with Oracle and Security procedures
3. Contact internal people to advise visitors have arrived, page employees when needed
4. Reception staff should have the capability to direct staff/visitors to their on-site meetings. Staff will be required to maintain a site wide knowledge of meeting room locations and keep up to date with planned meetings/events on-site
5. Common use inventory management; Reception team will manage allocation and optimum utilization of all common facilities like meeting rooms, mothers room, prayer room, etc using the company provided technology where available. An alternate process of meeting room management to be put in place in smaller location where a booking tool is not available.
6. Provide monthly meeting rooms booking reports and usage reports as required by Oracle.
7. Understand and follow Oracle Security protocols in the event of any threatening calls or Social Engineering Calls
8. Ensure to instill a culture of engagement in the team that match our ‘I am JLL’ behaviors of being an Expert, Proactive, Innovative, Versatile, team Player and valuing the Customer – demonstrating actions on a monthly basis relating to each one;
9. Clearly understand our Client(s) purpose and values, linking them to the way we work and our own behaviors to Ensure our delivery is Customer centric;
10. Take and create experiences that are easy to deal with, that create consistent and sustainable value for our clients, customers and each other respectfully
11. Assist FM in day-to-day operations of workplace facilities services and finance activities
12. Raise purchase requisitions/purchase orders and maintain suppliers register
13. Ensure payments are made to maintenance contractors within 1 months of the receipt of invoices
14. Send reminders to service providers on billing for work done
15. Get sign off from all service providers concerning final payments for services rendered in a given year
16. Act as Account Payable to register and map invoices with purchase orders as well as verify invoices for work completed
17. Assist client for the payment and PO to the respective vendor under manage service arrangement
