Deskripsi Pekerjaan


Purpose of the position:

General Administration who can support HRGA leader in manage all activity and administrative General Affair matters including office operational support (especially for Cilegon: will support for members at vendor site in Cilegon city)

Responsibilities:

  • Arranging logistics and preparing administrative (flights, hotels, meeting rooms, transportation, working permit;
  • Maintaining records of all related documents (invoices, receipts, claim reimbursement, petty cash) to be submitted to the Finance at Jakarta Office.
  • Manage attendance report tracking (e.g. record sick, personal leave or maternity leave)
  • Maintaining the office by ensuring office working systems are all operating properly (filling, printers, scanner, photocopier, telephone, etc.) and dealing with issues as they arise in a timely manner.
  • Taking care of facility management and maintenance, office supplies, relation to service providers, business contacts, vendors and relations.
  • Procurement and inventory control of office stationery and pantry supplies.
  • To be intermediary information with the vendor management.
  • Help organize company events, employee gathering, or any employee engagement activity.
  • Interfacing with internal employees regarding general affairs and administrative support functions.
  • Support any ad hoc administration task as needed in an accurate and concise manner
  • Work with other team members and build successful relationships throughout the organization

Qualification:

* (E) : Essential,  (D) : Desirable

Education & Language:

  • Bachelor's degree or equivalent (E)
  • Fluently in English (E)

Experiences and Skills

  • (E): More than 3 years’ experience as a general administration staff for 10-20 members.
  • (E): Petty cash and reimbursement management, documents processing
  • E): Attendance management
  • (E): General Affairs work (Office, facility, member’s residence management and other basic GA works)
  • (E): Work with other departments and vendors.
  • (E): Supporting company document.
  • (E): Company car include driver management
  • (D): Work experience at Japanese company.

Skills

  • (E): Well versed in Petty cash calculation, reimbursement, and reporting data input
  • (E): Knowledge and experience with efficient internal office communications, including an efficient filing system
  • (E): Computer literacy (preparedness to learn and manage computer software packages necessary for office work, especially related to communication and information management).
  • (D): Understand Work permit and immigration matters
  • (D): Demonstrate openness and respond positively to feedback
