Deskripsi Pekerjaan


Performs general administrative support functions and is responsible for the effective performance of miscellaneous secretarial duties and clerical functions within the service department.

Job Scope

  • Takes incoming calls and enquires to the service department and escalates to appropriate personnel as per departmental process.
  • Types or enters all types of correspondence related to worker compensation (payroll) records and departmental reports.
  • Assists in the creation of quotes whenever required.
  • Compiles and processes all warranty claims.
  • Performs clerical functions to support the work order process:
  1. Assists in work order opening and closing and prepares billing report and billing summary related to the work orders.
  2. Posts all labours and parts requisitions for work orders.
  3. Follows up all external purchase of materials or parts and posts related to the work orders.
  4. Receives, sorts and distributes all correspondence and service information for the department
  • Maintains control logs on, including personnel records, purchase orders, work orders, training records, regulatory reports, attendance records, all health, insurance and testing records as directed by the department.
  • Handles all communications and other office equipment:
  1. Ensures that all office equipment is clean and in good working condition.
  2. Operates all office equipment, orders and maintains office supply for all departments.
  • Maintains all department files and ensures materials are properly filed:
  1. Ensures all filing systems are current and established in the proper methods.
  2. Updates machine population and maintains all machine history and related work order files.
  3. Processes the updates regarding the customer’s account and contact information.
  4. Follows up on claim reimbursement, checks credit note from manufacturer and informs service manager about any discrepancy.
  5. Follows up closely on the “parts and service” receivables” with the finance department and informs the status to related managers within the service department periodically.
  6. Performs other duties and administrative tasks as assigned by the service manager, supervisor or other managers within the service department.

Qualification:

履行一般行政支持职能,并负责有效履行服务部门内的杂项秘书职责和文书职能。

工作范围

接听来电并向服务部门查询,并根据部门流程上报给适当的人员。

键入或输入记录和部门报告相关的所有类型的信件。

在需要时协助创建报价。

编译和处理所有保修索赔。

执行文书职能以支持工单流程:

• 协助打开和关闭工作订单,并准备与工作订单相关的账单报告和账单摘要。

• 发布工作订单的所有人工和零件申请。

• 跟进所有材料或零件的外部采购以及与工单相关的帖子。

• 接收、整理和分发部门的所有信件和服务信息

维护控制日志,包括人员记录、采购订单、工作订单、培训记录、监管报告、出勤记录、所有健康、保险和测试记录,由部门指示。

处理所有通讯和其他办公设备:

• 确保所有办公设备清洁且工作状态良好。

• 操作所有办公设备,为所有部门订购和维护办公用品。

维护所有部门文件并确保正确归档材料:

• 确保所有文件系统都是最新的,并以正确的方法建立。

• 更新机器数量并维护所有机器历史和相关工作单文件。

• 处理有关客户帐户和联系信息的更新。

• 跟进索赔报销,检查制造商的贷方通知单并通知服务经理任何差异。

• 与财务部门密切跟进“零件和服务”应收账款,并定期将情况告知服务部门的相关经理。

• 执行服务部门内服务经理、主管或其他经理分配的其他职责和管理任务。
