Job Summary: The Sales Admin Staff is responsible for providing administrative support to the sales team, assisting in various sales-related tasks, and ensuring efficient and organized operations within the sales department.
Key Responsibilities:
1. Data Entry: Maintain accurate and up-to-date records of sales transactions, customer information, and leads in the company's CRM (Customer Relationship Management) system.
2. Sales Support: Assist the sales team in preparing quotes, proposals, and presentations for clients. Coordinate with other departments to fulfill customer orders and requests.
3. Customer Communication: Act as a point of contact for customer inquiries and concerns. Provide excellent customer service and assist in resolving issues or redirecting them to the appropriate team member.
4. Documentation: Prepare and maintain sales contracts, agreements, and other documentation. Ensure that all paperwork is completed accurately and filed appropriately.
5. Sales Reports: Generate and analyze sales reports, including sales trends, performance metrics, and revenue forecasts. Provide this information to the sales team and management.
6. Inventory Management: Keep track of inventory levels and assist in managing product availability and restocking.
7. Calendar Management: Schedule sales meetings, appointments, and follow-ups for the sales team. Coordinate travel arrangements if necessary.
8. Administrative Tasks: Handle general administrative tasks, such as filing, photocopying, and managing office supplies to ensure a well-organized and efficient work environment.
9. Training: Assist in onboarding and training new sales team members on internal processes, systems, and procedures.
10. Event Coordination: Support the organization of sales events, trade shows, and promotional activities as needed.
Qualifications:
- Diploma or equivalent; some college coursework or a degree in business administration may be preferred.
- Proven experience in a similar administrative or sales support role is a plus.
- Proficiency in office software and CRM systems.
- Strong organizational, time management, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and accuracy in data entry and document preparation.
- Customer-focused mindset with a commitment to delivering exceptional service.
- Flexibility and adaptability to handle various tasks and changing priorities.
