Job Duties

Handle the administrative SOPs of the technical service department.

Maintain Documentation for Expense Report for Technical Service Department

  • § Check whether the expense report is submitted in accordance to SOP from the company (please refer to document: 20210603_TS-002_Documentation Guideline_final.pdf)
  • § Keep the record of the mobile allowance that was claimed through expense report for TS Department (RI & RSL)
  • § Keep the record of the cash advance request for TS Department (RI & RSL)
  • § Scan and filing of all expense report (chargeable orders) and save at dedicated shared folder:

Maintain the LOGBOOK document

  • LOGBOOK Document between TS Department and Accounting Department in daily basis

Maintain the Purchase Order Documentation

  • Ensure the completeness of purchase order documentation, which consisting of:
  1. Quotation
  2. Purchase Order (word & pdf file)
  3. Order Confirmation (if available)
  4. Berita Acara / Delivery Notes
  5. Request of Invoice and Invoice
  6. Remittance slip

Issuance of Payment Request Draft for invoices

  • Including scan of invoice (both chargeables & non chargeables)

Maintain the Tools inventory of Rieckermann Indonesia

  • Basic & Special Tools
  • Update and maintain the tools inventory for each individual field service engineer

Creation of Company Registration Form for adding new company into the LOD

  • Ensure that company registration is successfully registered (email confirmation is received)

Collection of the job-cards from the entire service team

  • Including scan of the job cards
  • Including entry job card to RIS system.
  • Including updating the job-card numbers on the service engineer calendar

SECONDARY

  • To assist on ad hoc tasks or projects as required by the Management.
  • Willing to work extra hours to complete tasks and fulfil customer’s needs.
