Purpose of the Job

To assist Sales Team in conducting their function by supporting in preparing tender participation activities from reviewing tender requirement until submitting required documents to customer and maintaining required tender documents.

Main tasks and responsibilities:

•  Screen customer inquiries and tender invitations/ ITBs from company email and register to List of Tender and Calendar at MS Outlook.
• Attend customer pre-bid meeting to proactively ask, clarify, and propose to customer for better understanding on tender requirement.
• Proactive in coordination and follow up with colleague in the Sales department and other departments such as Workshop, Field Service, HR, Finance, Purchasing, PPC, HSE, Engineering, QA & QC, in getting required documents.
• Support on document signing for tender submission.
• Arrange and prioritize tender preparation in a timely manner by collecting all required documents.
• Submit tender requirements to customer on time via email, customer tendering portal, or, and via post.
• Support on document signing on PO, agreement and contract from customer.
• Maintain and update CV Data base, CSMS data base, and monitor and follow up tender documents’ validity.
• Self-appraise or assess on self-performance.
• Escalate issues or obstacles that may arise in communication or late or slow responses from other departments to related higher level and superior in order to get fast responses/ supports and solutions.
• Continuous improvement for more accurate and faster tender submission preparation.

Job Requirements:

• Diploma in Engineering or with relevant good experience
• Experience in tendering process
• Experience in handling customer inquiries, ITB, tender documents.
• Experience in communication with customers, verbally and in written.
• Experience in providing HSE Plan, CSMS 
• Knowledge of Sales and Tendering process
• English reading and writing skills
•  Negotiating skills
• Willingness to travel if required (5%)
•  Proactive or initiative with good attitude in communication and in meeting tender requirement.
• Must be Willing to work in Purwakarta
