JOB SUMMARY

This position will be responsible for providing services to all work units in the company, both administratively and in terms of managing routine company services.

DUTIES & RESPONSIBILITIES

  1. Maintain office facility and assets: liaise with building management, make sure the environment could promote the productive work, neat, tidy, and clean all the time, record all the office assets (property list) , routine office facility checking (annual physical observation), office renovation.
  2. Purchasing: Supervise routine and non-routine office purchase such as pantry and stationery stock, other new office facility and make sure the stock is sufficient, maintaining good relationship and negotiate with vendor.
  3. Legal: Maintain all office legal and permit document, dealing and liaise with related external party.
  4. GA Coordination: Supervise and coordinate GA team member and messenger.
  5. Coordinate with HR for foreigner matter: Maintain all foreigner stuff such as permit, car and driver, housing, children school, other foreigner facility.
  6. Vendor and FA Bridging: Work closely with vendor and Finance Accounting to make sure the vendor invoice and all supporting document is completed, and payment done in timely manner
  7. Business Trip: guidance to user & monitoring of C&Go tool.
  8. Maintain non-employee administration such as freelance, non-staff, outsource driver.
  9. Undertake and monitor the cost of operational needs to be within corporate budget.
  10. Any other assignment as and when assigned by the direct superior including assisting sales support whenever required.

JOB SPECIFICATIONS

Minimum Level of Qualification:

  1. Minimum 10 years of experience in GA or Office Service with 5 years in leadership role.
  2. Bachelor’s degree in any field, preferably from Law.

Professional Skills:

  1. English fluency both written and verbal
  2. Broad knowledge and experience in formalities (foreigner permits), company legal document permit and renewal.
  3. Having good knowledge and experience in safety and security.
  4. Easily build, have strong relationships, and can communicate well with government agencies, especially BKPM or Ministry of Trade.
