Role Description
As the Executive Secretary, you play a critical role in providing high-level administrative support to ensure the efficient functioning of the directors' office and the smooth operation of the company. This position requires exceptional organizational skills, confidentiality, and the ability to handle a wide range of administrative and executive support tasks.
Key Responsibilities
- Calendar Management : Maintain and coordinate the directors' calendars, schedule meetings, appointments, and events while ensuring efficient time management.
- Communication : Serve as a primary point of contact for internal and external stakeholders, managing emails, phone calls, and correspondence. Act as a liaison between the directors and other staff.
- Travel Arrangements : Handle travel arrangements, including booking flights, accommodations, and creating detailed itineraries for business trips.
- Meeting Coordination : Prepare and distribute meeting agendas, take minutes, and ensure the directors are well-prepared for meetings. Coordinate and organize board meetings, conferences, and other events.
- Document Management : Maintain and organize digital and physical records, documents, and files. Ensure data security and confidentiality.
- Financial Support : Assist with financial tasks such as expense reporting, invoice processing, and budget tracking.
- Project Support : Assist with special projects, research, and data analysis to support decision-making.
- Confidentiality : Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Office Administration : Oversee the smooth operation of the directors' office, including ordering supplies, managing vendors, and resolving office-related issues.
- Reporting : Generate reports and presentations as required by the directors.
Qualifications and Skills:
- Bachelor's degree in Business Administration or a related field preferred.
- Proven experience as an executive secretary or in a similar role.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities.
- Ability to work independently and under pressure.
- Exceptional attention to detail.
- Discretion and integrity in handling confidential information.
- Flexibility to adapt to changing priorities and tasks.
